Reschedule & Attendance Policy

Reschedule ≥24h free via your confirmation link. If intake files are missing at T-24h, we auto-cancel and send a reschedule link.

Arrivals ≥10 minutes late or no-shows count as completed sessions.

Reschedule window: You may reschedule ≥24 hours before your appointment at no charge using the link in your confirmation email.

Intake deadline: Required intake files are due at least 24 hours before your call. If files are missing at the deadline, your appointment is automatically cancelled and you’ll receive a link to pick a new time. Your payment is preserved. If you miss the intake deadline twice, your appointment will automatically be cancelled and you will not receive a refund.

No-shows / late arrivals: Arriving 10 or more minutes late or not attending counts as a completed session. No refunds.

Transfer: You may transfer your session to another adult with our approval ≥24 hours prior.

Refunds and Credits

Consults are non-refundable. Within 7 days you may apply 100% of your consult fee as credit toward PowerFast Champions or Health Maverick programs. Single-use, non-transferable.

Coach Cancellation: If we cancel for any reason, you may choose a full refund or a free rebook.

Refunds & Credits

No refunds on consultations or sessions.

Scope of Service (Education-Only)

We provide education and coaching using D.R.E.S.S. (Diet, Rest, Exercise, Stress reduction, Supplements) and performance-oriented interpretation of information you supply.

We do not diagnose, treat, or manage disease, prescribe medications, or replace your licensed healthcare provider.

Any labs you submit are reviewed only to guide coaching decisions (e.g., food placement, sleep window, training progressions, stress-reduction practices). For medical concerns, consult your physician.

Lab Eligibility & Recency


FLR/PLR sessions review basic bloodwork only (CBC, CMP, Lipid, Thyroid, A1c, fasting glucose/insulin, Iron studies, hs-CRP, Vitamin D, B12/folate, homocysteine, basic serum hormones if provided).

Results must be ≤ 3 months old.

Specialty/functional tests (e.g., DUTCH, GI-MAP, MRT, SHP, MBA/MWP, HTMA, genomics, specialty microbiome) are not reviewed in these sessions and are reserved for the Health Maverick program.

Sessions are education-only and do not constitute diagnosis, treatment, or medical care.

Information we collect

Contact info; intake forms (Lifestyle & Medical History; Metabolic Chaos Scorecard); files you upload (e.g., lab PDFs); session notes; payment metadata (handled by payment processors).

How we use your information

To deliver and improve services, prepare for sessions, process payments, maintain records (invoicing, scheduling), and comply with legal obligations.

Storage & processors

Data is stored in secure third-party systems we use for scheduling/CRM, payments, cloud storage, and email. Access is restricted to us and, if applicable, a contracted VA under confidentiality.

Security

Account-level encryption where available, strong authentication, and least-privilege access. Please do not send sensitive files by plain email; use our upload portal.

Retention

Consult artifacts (forms, notes, uploads) are retained 12 months and then deleted unless you engage ongoing coaching or law requires longer retention.

Your choices & rights

You may request a copy, correction, or deletion of your data unless retention is legally required. Contact: [email protected].

HIPAA

We are not a HIPAA-covered entity. We still protect confidentiality and security using industry practices.

Frequently asked questions

How do I reschedule?

Use the reschedule link in your confirmation email at least 24 hours before your appointment.

What happens if I miss the intake deadline?

If required intake files are missing 24 hours before the call, your appointment is automatically cancelled and you will receive a link to pick a new time. Your payment is preserved. If the deadline for the intake files are missing again after picking a new time, your call will automatically be cancelled and you will not receive a refund.

Are consults refundable?

No. Consultations and sessions are non-refundable. If we cancel, you may choose a refund or a free rebook.

Can I apply my fee as credit?

Do you diagnose or treat conditions?

No. Health Maverick provides education and coaching only and does not replace licensed healthcare providers.

How long do you keep my data?

Consult artifacts are retained 12 months then deleted unless you engage ongoing coaching or law requires longer retention.

Are you HIPAA-covered?

We are not a HIPAA-covered entity. We nonetheless use industry-standard practices to protect confidentiality.

What files should I upload?

Upload intake forms, lab PDFs, and any relevant files via the portal. Do not send sensitive files via plain email.
